1. Open Microsoft Project. 2.
The screen should be a GANTT chart with cells for task
vertically along the left and a calender increasing 3.
For task ID 1, type “Questionaire”. Use a duration of 20. The
default duration unit should be days. Go into 4. Type in the following tasks and durations: Feasability Study 30 Initial Design 35 Final Design 10 Coding 20 Testing 10 Implementation 20 5. Notice that all tasks default to
starting today. Also, the longest task is in red, the others
blue. Red is the 6. LINKING Method 1: Linking tasks adjacent to each other in the list: 1.Click on Questionaire, hold down the left mouse button, and drag to Feasability Study, then release the button. 2.Click on the connected chain in the tool bar. This links the 2 tasks. The default link is a finish-start (follower starts when predecessor finishes). Other links include start-start. Delays can also be used. Delays can be in days, or percentages. 3.After you have linked the 2, click on Feasability Study and look down at the task data. It should show the predecessor and link type and lag. 4.Type in SS (start start) for the link, click back OK, and watch the bar chart. 5.Now type in 5 days for lag, click OK, and see what happens. 6.Now type in 50% for the lag, click OK, and see what happens. 7.After these experiments, put it back to a FS and 0 lag link.
Method 2: To link tasks not adjacent to each other: 1.click on the first task 2.press and hold the ctrl button 3.click on the second task 4.click on the connected chain button.
Method 3: To link any tasks adjacent or not 1.Click on the task you want to assign a predecessor. 2.Go into the task entry form on the bottom and type in the predecessor ID#, type of link (FS, SS, etc.) and the lag. NOTE: IF YOU LINK A TASK MORE THAN ONCE, IT DOES NOT AUTOMATICALLY OVERRIDE PREVIOUS LINKS, IT USES THEM ALL. SO IF YOU MAKE A MISTAKE IN LINKING, DELETE THE MISTAKE IN THE TASK ENTRY FORM ON THE BOTTOM 6. Now link all of the tasks however you want 7.ADDING SUB TASKS Let’s divide the Testing stage into 2 sub tasks: Interface and database Type Interface in the cell below the stage Testing and hit enter Near the upper right hand part of the screen, you will see a right and left arrow, plus and minus sign, and a double plus sign

SCREEN VIEWS For more advanced uses of Project, viewing different screens is needed In the menu bar, click on “view” to see all the different views you can use Looking at the default view (task entry) the screen is split horizontally This creates 2 separate screens, or “panes” The “Active Screen” is the screen that you clicked in last When you click on “view” and then a specific view type, it will come up in the “active screen” Some views are only allowed in certain panes. For example, the “PERT” view is only allowed in the upper pane. Selecting on the “task entry” view brings you back to the default set of panes
9. RESOURCES To add resources, the active screen must be the top Set the top pane as active (click anywhere in the top pane) Method 1: 1. Go
into “view” and select “resource sheet” You can add any resource
here (add 5 S/W Engineers) 2. Name is the name of the resource 3. Ignore initials and group (advanced topics) Initials will be assigned automatically 4. Max units is the number of this resource you have (5) 5. Hourly and overtime rates are default $/hour ($10 and $15) 6. If it’s a sub with a lump sum bid, you can insert the lump sum under “per use”. 7.You don’t need to add all resources here. You can add them as you go.
Method 2: Adding resource to specific tasks
1. In the task entry view, click on a task you want to add resources to (Questionaire)
2. Click on the human head button in the tool bar. A menu will
appear. The down arrow lets
you 3. Selecting the resource assigns that resource to that task for that duration
4. You can add a new resource by typing in a new name (Public Relations expert) 5. You will be prompted to add the resource to the resource pool 6. The task specific resource will now show up in the task entry view 7. Follow this method to add resources as needed
10. RESOURCE TIME
By default, the duration of a resource is the same as the duration of the task You may have a resource assigned to a task, but it is not needed for the entire task duration In the Task Entry View, click on the task in the top pane In the bottom pane, each resource is assigned the duration of the task To change this, in the bottom pane, retype the duration then click the “Fixed” box This fixes the task duration regardless of the durations of the resource If you don’t fix the task duration, the task duration will default to the longest resource duration regardless of the task duration you entered above
11. PROJECT STATUS Click ‘options’ then “project status” to see project cost with your added resources
